Exhibition area
All coffee breaks and lunches will be held in the exhibition area, with multiple catering service buffets to ensure that delegates are spread throughout this area. The poster boards will also be placed in the Exhibition Hall.
Exhibition manual
The Exhibition Manual contains important information for exhibitors, such as:
- important deadlines
- build-up and break-down schedule, show hours
- shipments, deliveries, freight forwarding
- venue rules and regulations
- and many more important details
The manual will be sent to confirmed exhibitors in the first week of March 2025.
Registration
Registration of exhibition staff
All sponsors and exhibitors will be sent a registration form for exhibition staff separately (no access to congress sessions). Registration of your exhibition staff members does not go through the registration portal for congress participants on the congress website.
Your sponsoring level stipulates how many (exhibition) registrations are included in your package. On the form you can indicate the number of extra exhibition staff members you would like to have registered, and who would like to attend the congress dinner (extra price for the dinner is € 95 per person).
Freight forwarder
The Royal Jaarbeurs is not allowed to arrange any customs clearance operations and does not provide loading and warehousing services.

They will be happy to solve your doubts and offer their services for reception of materials at their advanced warehouse and delivery of your goods to your stand.
Please note that the venue does not receive, customs clear or store incoming shipments. If you intend to ship goods directly to your stand, you need to be there in order to sign off the delivery note of your transport company. Neither the Conference Centre Royal Jaarbeurs nor the Organisers will be able to do this.
Attention! Non-EU shipments need an importer of the record and cannot be consigned directly to the venue, as they will get stuck at customs. Also, the import of medical equipment and products from non-EU countries into the Netherlands is restricted. Please consult Todays Logistics in time before shipping for the possible restrictions and options for import, in order to avoid that shipments get stuck at customs.

Small deliveries - shipping label
You are advised to send your shipment via the freight forwarder Todays Logistics.
Should you use your own courier, the use of shipping labels on EACH package/box/crate is compulsory.
Delivery is possible from Wednesday 14 May 2025 (build-up day).
